01When it runs
What starts the work
Eve dispatches Deduction when one of these events arrives, checks readiness first, and records why the work was allocated.
- A customer short payment, deduction, credit offset, advance disbursement, expense claim, settlement or overdue advance.
- A policy change, an employee exit or a project completion where advances or claim balances remain unsettled.
02What it checks
The procedures Deduction performs
Every procedure has a stable identifier in the approved SOP, an expected result and required evidence. Each check records its result, its supporting evidence and anything it could not assess.
- 01
Reconciles opening advances plus disbursements, less supported utilisation, approved offsets and repayments, to closing advances by party and purpose.
- 02
Classifies customer deductions as contractual, disputed, unexplained or erroneous, and verifies related credits, returns, rebates and prior settlements.
- 03
Reviews every class of advance, including employee travel, supplier deposits and customer advances, with separate asset and liability treatment.
- 04
Identifies bill-less claim payments, duplicate claims, excessive or disallowed reimbursement components and missing approvals or receipts.
- 05
Compares claims with the policy limits and approved exceptions in force on the transaction date, without applying a new policy retrospectively.
- 06
Matches advance utilisation to supporting bills or approved evidence, so an expense cannot be both reimbursed and applied against an advance.
- 07
Assesses overdue and inactive balances, missing refund commitments and incomplete handovers, and obtains explanations through Eve and the Inbox.
- 08
Prepares a supported recovery, valid-offset, dispute, reclassification or write-off recommendation with a responsible owner and due date.
- 09
Verifies partial settlements, bank repayments, approved payroll deductions and ledger adjustments, and maintains the remaining balance.
Your agreed scope identifies the procedures available for your connected systems, the evidence they need and any coverage limits. Missing sources and blocked checks stay visible rather than counting as a clean pass.
03Who it works with
One lead per finding. Named support.
Entitlement establishes valid rebates and commissions, Spend Guard checks duplicate expense claims and Sentinel reviews potential abuse.
Revenue Assurance validates the underlying invoices, Cash Pilot uses realistic collection dates, and Journal executes approved adjustments.
Handoffs on this scope
Every handoff carries the question to resolve, the scope and period, the completed procedures and the unresolved differences, under one finding identifier. The receiving agent accepts or declines with a reason.
04What it files
Workbooks you can download. Reports you can read.
Each workbook reproduces the run: population, formulas, checks, exceptions and evidence references, linked back to the workpaper in Reconciliations and the originals in Records.
- Advance rollforward by party and purpose
- Customer deduction and offset register
- Policy compliance and bill-less claims
- Recovery, dispute and settlement aging
- Residual balances and proposed treatment
- Advance accountability report
- Short-payment analysis
- Reimbursement exceptions
- Recoverable balance aging
05What it raises, what stays with you
Findings for the agent. Decisions for your team.
An unsettled advance, an unsupported deduction, an improper reimbursement, a missing bill, duplicate utilisation or a wrongly classified balance.
A valid contractual offset reduces the original exposure rather than counting as cash recovery.
Requests for bills and explanations, disputes, approved recovery arrangements and write-offs go to your Inbox. No unilateral payroll deduction or employee collection action is taken.
Advance aging, settlement deadlines, policy tolerances, escalation bands and recovery review intervals, by advance and claim type.
Repayment or valid utilisation is confirmed against source evidence, the ledger is reconciled and any approved adjustment verified. Disputed residuals stay open with a current owner and next action.
06What good looks like
What a completed result looks like
The observable outcomes Deduction has to produce before the duty counts as complete on your books.
- One bill cannot both clear an advance and generate an additional reimbursement without a supported allocation.
- A valid customer rebate is distinguished from an unsupported deduction.
- An overdue employee advance produces a reviewed recovery task rather than an automatic payroll deduction.
Where Deduction works
Value recovery
Classifies each short payment and deduction as contractual, disputed, unexplained or erroneous against the invoice, the agreement and delivery evidence, then prepares the recovery or the valid offset.
Accounts receivable
Tests every short payment and deduction against the invoice, the agreement and delivery evidence, then prepares the recovery or the valid offset.
Cash forecasting
Resolves advances and short payments, so the forecast does not count balances that will not convert.
